How Clover Events Navigated COVID-19 Restrictions For Groundbreaking Event
The client, Trammell Crow Company-Midwest Business Unit, reached out when they were in the midst of planning a high-visibility groundbreaking celebration and cocktail party for one of their future life science labs, Fulton Labs at 400 N. Aberdeen. One of their primary challenges was that the Governor Pritzker of Illinois was slated to speak at the event, and his involvement presented security and protocol expectations that needed to be met. The Clover Events team was brought in 9 days before the event to source vendors, create timelines and logistical plans for the event and create a plan for COVID-19 safety procedures. In addition, the team had the task of catalyzing the existing partners (client, key stakeholders, PR team, and security detail for the Governor) to ensure all parties were on the same page.

1. Vendor team sourcing: Considering the compressed timeline – events of this caliber typically take upwards of three months to plan – the Clover Events team hit the ground running to prioritize and source key vendors, including an AV and production partner, a tenting company and food and beverage for the cocktail party. Tapping into our extensive and trusted vendor network, we quickly assembled a quality vendor team that covered all needs for the client and was approved after our first meeting, a testament to how well-matched the partnerships were. Once the vendor team was assembled, we worked to clearly define expectations and needs for both the vendors and the client.
2. Vendor-client relationship management: We brought the teams together at the groundbreaking site for a walkthrough 5 days prior to the event to determine the best location for the ceremony, taking into account safety on the building site, ideal locations for staging and equipment and ease of access for the Governor and his security detail. The Clover Events team was able to seamlessly accommodate requests from all partners and vendors to ensure all needs were met.
3. Adaptability: The day of the event it was decided to bring in an additional tent to allow for a larger footprint to accommodate guests’ social distancing due to the COVID-19 pandemic. The Clover Events team quickly sourced and coordinated set-up of an additional tent hours before the event.

The event occurred without interruption delivering a seamless celebration for guests which included media, local and state government representatives, academics and key stakeholders in the project. The event was successfully executed given COVID-19 restrictions and protocols.
