Having a Plan for COVID-19
While we hate to bring up anything that may cause additional stress during the wedding planning process, the Clover Events team wants to address how COVID-19 may impact your wedding and what preparations and precautions we’re taking as a team. We are proceeding with caution, but not panic, and want to share that unless the government mandates otherwise, we are still working diligently and are very much looking forward to being a part of your wedding day!
CONSIDERATIONS FOR YOUR BIG DAY
The decisions that you make around your wedding are a very personal decision and while couples are looking to us for advice during this unprecedented situation, we are not able to know what the future holds and therefore are limited in the advice we can give. We have put together a list of some options to possibly consider as you continue to plan your wedding:
Consider adding a “sanitizing station” at your event for guests to use in addition to the restroom facilities. We are happy to discuss options with you about this!
If you anticipate less guests to travel for your wedding and you have a hotel room block, consider contacting that hotel to discuss changing the number of rooms that are blocked. Contractually, hotels may not be able to change your room block numbers but that doesn’t prevent you from asking. Be sure to check your cut-off dates!
Consider live streaming or videotaping your ceremony and/or reception for guests who are not able to attend. If you are interested in this, please let us know and we can connect you with vendors who can assist with this service.
If you anticipate less guests to attend your wedding and you have a minimum with your venue and/or caterer, contact that vendor to see if there are options are for a lower guest count.
HOW TO HANDLE CHANGING PLANS
While we hope it does not come to this, we do want to address the topic of canceling/rescheduling. Please be mindful that the wedding & event industry is comprised of a lot of small businesses who genuinely care about their couples and who also might not have the resources to survive if they issue refunds that they are not contractually obligated to give. If a vendor’s contract says that a payment is non-refundable and that vendor chooses to uphold their contract, please know that it is not personal and most likely that vendor did not come to the decision lightly.
From what we’re hearing, a lot of vendors are willing to reschedule to a later date pending availability and want to do everything they can to accommodate couples impacted by COVID-19. Each situation with each vendor will be different, based on that vendor’s contract and their own abilities. Some vendors may need to charge a rescheduling fee in order to cover the expenses associated with moving a date. Some vendors may need to adjust their prices if the date is changed to 2021 because their rates may be different year-to-year and/or their suppliers may charge differently in the following year, and they are losing a date that they could have potentially booked.
If you find yourself in a situation where we need to start talking about rescheduling or cancelling, please know that we are here to support you while also showing grace and understanding towards our fellow small-business vendors.

As with every event, we strive to be proactive and have backup plans in place well before the event day.
